Best HRIS Systems
What Are HRIS Systems
HRIS systems are used to manage employee records and data. HRIS is a system that is used to store employee information, including their job titles, salaries, and benefits. In addition,
it also stores other important information such as performance reviews, disciplinary actions and promotions.
A few of the most common uses for HRIS systems include:
Recruiting: HRIS systems are used by recruiters who need to create a database of candidates that they can use when hiring new employees.
Payroll: HRIS systems are used by payroll companies to track employee hours worked and their wages earned. They also keep track of deductions, such as taxes and insurance premiums.
Benefits administration: HRIS systems are used by benefit administrators to track employee contributions toward retirement plans, paid time off (PTO) programs and other benefits programs.
HRIS Systems – Introduction
The purpose of this chapter is to introduce HRIS systems and how they can be used to help improve business operations. This chapter will begin by introducing the different types of HRIS systems that are available to businesses.
Following this, a brief overview of HRIS system implementation will be presented to illustrate the overall process that is required for the installation of an HRIS system. Finally, this chapter will conclude by discussing some common challenges that need to be addressed during HRIS implementation.
HRIS systems began as simple databases containing information on employees. As time passed and computers advanced, these simple databases evolved into complete systems containing all aspects of human resource management (HRM).
Today’s modern computerized HRIS systems are a staple component in many high-performance organizations. These systems provide a wide range of functionality from payroll processing and employee benefits administration to performance management, applicant tracking, and training management.
As indicated in Figure 1-1 below, these systems can be classified into two groups: PC-based vs mainframe-based systems. PC-based software is sometimes referred to as client/server architecture.
Mainframe-based software is sometimes referred to as legacy or host-centric installations. The following sections describe these two architectures in more detail.
What Are The Best HRIS Systems?
Today’s business leaders want to leverage the best talent available to them, so they’re turning to the HR department for advice.
That’s why HR professionals need a system that makes it easy to do their jobs better, faster, and smarter. They need an HRIS that will help them take charge of their future, drive business results and increase their value.
A good HRIS can help you streamline administrative functions, such as benefits enrollment, employee record-keeping and payroll processing. But it can also transform your HR department from a support function into a strategic partner with the rest of the organization.
The best HRIS software solutions have features such as:
State-of-the-art analytics tools that show you what’s working (and what’s not) in your recruiting, hiring and retention efforts.Easy-to-use self-service portals that let employees manage their own benefits packages or submit paid time off requests online instead of visiting an HR representative in person.
Mobile access so employees can view important company information on the go.
1. Monday HR
In the world of work. it’s not uncommon to hear that one of your colleagues has resigned and is moving on. And while we’re often disappointed when a co-worker leaves, there are a number of steps you can take to help make their exit as smooth as possible.
Here are five tips to ensure your colleagues’ departure is a pleasant experience:
Prepare an offboarding process. The offboarding process starts the moment the employee resigns.
It’s the process of leaving the company – which includes wrapping up any final tasks, tying up loose ends, and getting ready for their final day. The best way to approach this is to prepare an offboarding checklist, which can be given to the employee upon resignation (and kept by HR as well).
This checklist should include things like: turning in equipment/property, returning keys, email forwarding instructions etc. Remove access and passwords.
Terminated employees who keep access and passwords can cause a huge security risk for your company and its sensitive data. This can expose you to dangerous data breaches and other harmful situations.
So be sure to remove all accesses and passwords from their computer, email etc., as soon as they leave!
Communicate with other employees.

2. Rippling
Rippling is a startup that helps companies manage their HR and IT infrastructure. The company just landed a $45 million Series B funding round, led by Andreessen Horowitz.
Co-founder Parker Conrad says his goal is to eventually help every worker get a job and access great benefits through Rippling. Andreessen Horowitz’s Chris Dixon will join the board of directors at Rippling.
Conrad, who previously founded Zenefits and also co-founded SigFig, told Business Insider in an interview that he thinks Rippling has a chance to solve some major problems in the workplace for both employers and employees. “When I started Zenefits, I was struck by how difficult it was for small businesses to get great benefits,” Conrad said.
“I had this idea that if you could just take all of these pieces of HR — payroll, benefits, time tracking, equipment — and connect them together into a single system, you could dramatically increase the efficiency of an organization.” “And then on top of that you can bring artificial intelligence and machine learning to optimize things like benefits selection or insurance selection,” Conrad said.
It might sound simple, but Conrad believes that these tools can help employees become more productive at work.

7. Workday
I don’t know if there is an actual definition of “workday.” If you think about it, it can mean different things to different people.
For some, a workday starts when they wake up. They are on the clock from the moment their feet hit the floor. For others, a workday doesn’t start until they get out of bed, take a shower and maybe have something to eat.
And for some, a workday doesn’t start until they get to work! Everyone has their own definition of what a “workday” is and what it means to them. 8. Zenefits
It’s been a tough week for Zenefits, and potentially for human resources software more broadly. The San Francisco-based startup is under fire for alleged regulatory violations — namely that the company allowed unlicensed brokers to sell health insurance policies to customers.
The allegations were first reported by BuzzFeed News on Monday. The company has also been weathering an executive shakeup in recent months, with several high-profile exits, including the CEO and COO, who stepped down in February following a controversial internal memo about “cleaning up our house.”
Amid all of this, Zenefits is also restructuring: The company laid off 250 staffers last month and shuttered its Phoenix office as it moves away from selling health insurance to focus on building out its broader benefits package (which includes things like payroll services). Zenefits was born out of a need to simplify HR processes for small businesses.
The products are targeted at companies with less than 100 employees, which typically have anywhere between one and three people managing HR-related tasks like payroll and compliance issues, said Kathleen Utecht, Zenefits’ vice president of product management.
Features
Zenefits has a strong core product, and we’re constantly adding new features. Here are a few of our favorites.
Payroll and Benefits – Run your payroll automatically, and get the same great benefits for your employees as you do for yourself. HR Software – Offer your company PTO tracking, employee onboarding and even 401(k) management.
Compliance – Zenefits will keep you in compliance with state laws like California’s paid sick leave law. Mobile App – You can take care of business on the go with Zenefits’ mobile app.
Pros
Zenefits Pros
Zenefits has a lot of features built in that make the platform a great choice for small businesses. Here are some of our favorites:
Free HRIS and Payroll Software
Zenefits is unique in that it offers a free all-in-one HRIS, including payroll. With Zenefits, you can manage all your HR needs from one place, with no hassle and no additional cost.
Online Onboarding
When you hire new employees, you can use Zenefits to send them online paperwork to fill out before their first day. That way, you can be sure everything is filled out correctly and fully before the employee ever steps foot in your office.
Time Off Management
Zenefits makes time off tracking easy. Employees can request time off from anywhere using their mobile app, and you can approve or deny requests straight from your dashboard.
With Zenefits’ time off management system, you’ll never again have an employee show up when they said they’d be gone. Employee Self-Service Portal With Zenefits’ self-service portal, employees can access all their important documents and information in one place. They can also request time off, clock in and out, review pay stubs, see their benefits
Zenefits has all the HR tools that make managing your people easy, from streamlined onboarding and easy PTO tracking to org charts, performance reviews, and so much more. Employee info automatically flows to Benefits, where they can select and manage their own plans.

What Are HRIS Systems?
These days, most businesses – big or small – rely on some form of Human Resource Information System (HRIS) to help them manage employees. These powerful software solutions can perform many important tasks, from keeping track of employee data to processing payroll to managing benefits and taxes.
But what exactly is an HRIS system and how does it work? We’ve put together this guide to answer some of the most common questions about HRIS systems. We’ll cover: What Are HRIS Systems? Why Do You Need an HRIS System? What Can HRIS Systems Do? How Do They Work? What Are the Different Types of HRIS Systems? How Much Does an HRIS System Cost?
It’s important to understand that HRIS systems and human capital management systems (HCM) are in fact the same thing. The main difference is that HRIS systems may have fewer capabilities, such as recruitment and employee engagement, than HCM systems.
As the term “human capital management” has become more widely used, many HRIS vendors have decided to drop their old names. HRIS systems can be installed on the premises or accessed over the cloud, and they may offer a combination of both deployment methods.
What Are The Advantages Of Using HRIS Systems?
Below are some advantages of using HRIS Systems:
1) Reduced Costs. This is the most obvious reason to implement an HRIS system in your company. It can save you a lot of money by reducing administrative work and allowing employees to handle some tasks themselves.
The less time you spend on administrative tasks, the more you can focus on other important business activities.
2) Improved Decision-Making.
An HRIS system helps you store key information about your employees, organized and easily accessible. If you want to make better decisions about employee salary, benefits, etc., all the necessary information will be right at your fingertips.
You can also use this data to evaluate past decisions and see how they worked out in the long run.
3) Better Communication and Collaboration With Employees. Today’s workforce is made up of many different generations, each with unique communication preferences.
An HRIS system allows you to communicate with employees in many ways, from email to text messages, so that everyone gets the information they need regardless of age or lifestyle preferences.
It also makes it easier for employees to collaborate with each other because all data is shared through one system instead of being stored in separate locations.
4) Enhanced Employee Retention and Recruitment Efforts.
1. Advantages Of Using HRIS Systems Better Organization
While there are several types of HRIS, they all share a similar focus: helping you organize and streamline your employee data.
Efficiently organizing, storing, and using your employee data can improve everything from payroll to benefits. While using HRIS systems can be an investment, they can save companies money in the long run by reducing mistakes and saving time.
There are many advantages to using HRIS systems, but these five are among the most important: Better organization When it comes to managing employees, it’s easy to get overwhelmed with piles of paper work and mountains of emails. That’s where an HRIS comes in handy.
HRIS platforms gather all your employee data, from their job applications and resumes to their W4 forms and time cards. This way all the information related to your employees is stored in one place rather than scattered across files and folders or hidden in email chains.
A good HRIS system makes it easy for anyone in your company to find the information they need about an employee quickly and easily.
2. Advantages Of Using HRIS Systems Enhanced Compliance
Advantages Of Using HRIS Systems – Enhanced Compliance The U.S. Department of Labor requires all companies to keep accurate and detailed employee records. The Fair Labor Standards Act, the Employee Retirement Income Security Act, the Americans with Disabilities Act and countless other federal regulations have specific requirements for employee records.
Failure to comply with these laws can result in fines and lawsuits that can cripple a business. A human resources information system can help ensure that your company remains in compliance with federal regulations by automatically flagging potential issues and prompting you to correct them.
For example, an HRIS system may issue an alert when an employee’s work hours exceed the maximum number of hours permitted during a pay period or when an employee’s disability insurance premiums haven’t been deducted correctly. Because most human resources software is developed by third-party vendors rather than by individual businesses, it is more likely to be compliant with federal regulations than something you develop on your own.
This is because it has been tested by many users and its developers have had access to a wider range of knowledge about regulatory changes and compliance issues.
3. Advantages Of Using HRIS Systems Saved Time
There are plenty of benefits to implementing an HRIS system. Here are just a few advantages of using HRIS systems: Saved time.
If the system is used correctly, it can save your company a ton of time. Everything from payroll to attendance tracking can be done with a few clicks of the mouse.
This can free up more time for employees to complete important tasks and increase productivity. More accurate data. An HRIS system allows you to store all employee data in one place, which means less chance for errors.
Information is entered once and stored in the database rather than being re-entered every time it’s needed. Employees no longer have to manually input attendance or vacation days, making information more accurate and easier to access.
Improved efficiency. In today’s fast-paced business world, efficiency is key. With an HRIS system, employees can search for information quickly instead of wasting time looking through different files or documents for what they need.
It also eliminates the need for multiple versions of the same document throughout multiple departments and locations which increases productivity. Reduced costs associated with processing employee information manually such as paper costs (purchase of supplies) and postage costs (mailing out checks).
4. Advantages Of Using HRIS Systems Strategic HR Management
A human resources information system (HRIS) is a type of technology used to acquire, store, manipulate, analyze, retrieve and distribute information related to an organization’s human resources department. It is software that helps in managing the information related to the employees of an organization.
The management of this data becomes easier with the help of this software. It takes care of all the things required for managing human resource management.
It makes the HR department more productive as it increases their efficiency. It provides a single database that can be accessed by other departments like accounting and finance as well as employees and managers.
It has a wide range of advantages including: 1-Automation of HR processes: An HRIS system automates most of the processes related to human resource management like recruitment, payroll, training, appraisals etc. This automation reduces the work load on HR personnel and thus allows them to focus on other tasks like employee development etc.
2-Improves accuracy: A human resource information system is a software that is programmed in such a way that it reduces the possibility of an error in its output data. Thus, it improves the accuracy of data which helps in making better decisions.
